AI admissions assistant for schools

Every parent gets an answer. Even at nine at night.

Gatehouse is an AI admissions assistant that lives on your school website. It answers parents from the facts your team has approved, captures the enquiry, and books the visit — around the clock, in English and Arabic.

One line of code on your existing website. Nothing to rebuild, nothing to install.

Hi — do you still have places in Year 7 for September?

We do have places in Year 7 for September entry. Registration closes on 31 January, and there's an entrance assessment in early February. Would you like me to check when the next open morning is?

Yes please, ideally a Saturday

There's an open morning on Saturday 11 October, 9:30–11:30. I can hold two places for you now — could I take your name and email?

Only what you approve

Every fact is written and approved by your team before it is ever said to a parent.

English and Arabic

Parents are answered in the language they write in, on the same website.

About an hour to set up

We load your prospectus facts, your team checks them, you paste one line of code.

The gap

Most enquiries arrive when nobody is at the desk

Parents research schools in the evening, at weekends, and from other time zones. Your admissions team is excellent — but it is small, and it is asleep.

A parent with a question and no answer doesn't wait. They open the next school's website.

How it works

Three steps, and you are live

Gatehouse is not a chatbot you have to train, and not a form with a friendly face. It is an assistant that knows your school because your team told it what is true.

1

You approve the facts

Fees, entry points, open mornings, term dates, transport, contacts. We load them from your prospectus and website; nothing reaches a parent until a member of your staff marks it approved.

2

Parents get real answers

On your website, day or night, in English or Arabic. Gatehouse answers from approved facts only — and when it doesn't know, it says so and offers to put the family in touch with your team.

3

You get the enquiry

Names, contact details, what the family asked about and how interested they are — plus booked visits in your tour diary and an email to your admissions inbox while the conversation is still warm.

For your team

Every conversation, in one place

Your admissions team opens one dashboard and sees what happened overnight: who asked, what they wanted, which families are worth a call this morning.

  • Leads ranked by how interested the family actually looked
  • Full transcripts, so nothing is second-hand
  • Booked tours in a diary your team controls
  • Callback requests with the time the parent asked for
  • A record of every email the assistant sent
  • Your knowledge base, editable and re-approvable at any time

See it for yourself

Ask it something awkward

We keep a fictional school — Elm Grove — with a fully approved knowledge base, so you can try Gatehouse the way a parent would. Ask about fees. Ask something it can't know. Watch what it does with both.

What to test

  • “How much are the fees?” — a fact its school approved
  • “Is the head teacher any good?” — an opinion it should decline
  • “Do you take children with dyslexia?” — where it should hand you to a person
  • “هل لديكم مقاعد متاحة؟” — the same assistant, in Arabic

Trust

Built for a school's duty of care, not a shop's

You are handing an assistant the first conversation a family has with your school, and the personal details that come with it. Here is what that means in practice.

It cannot improvise

Answers come from approved facts. Unapproved content is invisible to the assistant, even if it is sitting in the knowledge base as a draft.

It admits what it doesn't know

No invented fees, no guessed policies. It offers a person instead — and records the enquiry so the person actually follows up.

Family data stays yours

Each school sees only its own families. Elm Education staff do not browse your parents' details.

Retention and erasure

Conversations are purged on a schedule you set, and a single family's record can be erased on request.

The company behind it

Gatehouse is built by Elm Education

We are not a chatbot company that discovered schools. We build teacher training and school improvement tools, and we have sat in enough admissions offices to know what this job actually looks like.

Questions

The ones schools ask first

Will it make things up about our school?

It answers from the facts your team has approved and nothing else. If a parent asks something outside that, it says it doesn't have the answer and offers to put them in touch with your admissions team — and records the enquiry so someone does.

Do we have to change our website?

No. Gatehouse is one line of code that sits on the site you already have, whatever it was built with. If you can paste a line into your website's settings, you can install it — and your web agency can do it in minutes if you would rather.

Who can see the families' details?

Only the staff you give logins to, at your school. Each school's data is separate, and Elm Education staff do not browse your parents' details. See security and privacy for the detail.

What does it cost?

One annual price per school: £6,000, £9,000 or £12,000 a year depending on your size and whether you board, plus a one-off £750 to set you up. Groups and federations are priced per campus. The full table is on the pricing page.
