How it works

From your prospectus to a booked visit

What actually happens when you buy Gatehouse, what your team does, and what a parent sees. No jargon, no magic.

Setting up

Your part takes about an hour

We do the loading. Your team does the checking — and that checking is the part that makes it safe.

1

We build your knowledge base

Send us your prospectus, your fees page, your admissions timeline and your website. We turn them into structured facts — fees, entry points, open mornings, term dates, transport, contacts — and a set of longer answers for the questions that need a paragraph.

2

Your team approves it

Someone in admissions reads each fact and marks it approved, edits it, or leaves it out. Nothing that has not been approved can be said to a parent. This is the hour, and it is the whole safety model.

3

You set the boundaries

Tell it what it must never do: no discussing individual admissions decisions, no comparing your school to a named competitor, no discussing bursary amounts. Set your assistant's name, colours and photo so it looks like your school.

4

You paste one line of code

Into your website's settings or footer template — any platform, any builder. Nothing to install, no plugin, no rebuild. It appears as a small launcher in the corner of your pages.

Day to day

What a parent experiences

Not a form. Not a menu of buttons. A conversation that gets to the point and ends somewhere useful.

  • It greets them in the language they are reading in, and answers in the language they write in
  • It answers the question asked — fees, entry points, buses, uniform, SEND provision, term dates
  • It can walk them to the right page of your website mid-conversation
  • When the family is genuinely interested, it offers the next step: a visit, a callback, or a message to your team
  • It never pushes a booking on someone who is still browsing — but if the parent asks to book, it books immediately
  • It sends the family a confirmation email, and your team a notification
Admissions
St Aidan's School

We're relocating from Dubai in August. Do you take mid-year entries into Year 9?

Yes — we take mid-year entries into Year 9 where there is a place, and we assess in English and maths plus an interview with the head of year. For an August move, September entry is usually the smoother option. Would it help to speak to our registrar about the timing?

Yes, that would help

Of course. Could I take your name, email and a phone number, and a time that suits you for a call?

Behind the scenes

What your admissions team gets

Leads, ranked

Each conversation is scored on what the family actually did — the questions they asked, the details they gave, whether they asked to visit. Your team calls the warmest first instead of guessing.

Transcripts

The whole conversation, so the person who calls back already knows what was asked. No "sorry, could you explain that again".

A tour diary

Visits booked into the slots you published, with the family's details attached. You control what is offered and when.

Callback requests

With the time the parent asked for, so the call lands when they can take it.

An email record

Every message the assistant sent to a family, and every notification sent to you, in one list.

An editable knowledge base

Fees change, dates change, staff change. Edit a fact and it returns to draft until someone approves it again.

Honest limits

What it will not do

Every school asks. These are deliberate design decisions, not gaps we are hiding.
